About the programme

Course Overview

An office move is a fixed-date project with almost no tolerance for slippage, because a lease end date or a new landlord's possession date does not move to suit a delayed IT cutover. This course works through the full relocation timeline from site and space planning to the first Monday morning in the new building. Participants learn to build a move plan that works backwards from possession and lease-end dates, coordinate fit-out and furniture procurement against a fixed programme, and plan the IT and telecom cutover so systems are live before staff arrive. Sessions cover stack planning and space allocation, managing dilapidations and make-good obligations on the outgoing space, and the move-day logistics of sequencing teams, labelling and vendor coordination for movers and cabling contractors. The course also addresses the people side of relocation: communicating change to staff who are anxious about commute and desk allocation, planning a decant if a phased move is needed, and a settling-in period that resolves snagging issues without disrupting business operations. Participants finish able to build a relocation plan with a realistic critical path, coordinate the many vendors a move depends on, and run the move weekend itself so the business opens on time in the new space.

Relocation Strategy and Site Planning

2 sessions · 8 points

Session 1Setting the Relocation Programme

  • Build a relocation timeline working backwards from lease-end and new-site possession dates.
  • Identify the critical path linking design, fit-out, procurement, IT cutover and the move date.
  • Set a relocation budget covering fit-out, furniture, moving costs and dilapidations provisions.
  • Establish a move governance structure with a single decision-maker for date and scope changes.

Session 2Space Planning and Stack Allocation

  • Translate headcount and team adjacency requirements into a stack plan for the new floor layout.
  • Plan meeting room, storage and amenity space against realistic utilisation, not aspirational targets.
  • Sequence a phased decant plan when teams cannot move in a single weekend.
  • Validate the space plan with department heads before it is locked into the fit-out design.
02

Fit-Out Coordination and Vendor Management

2 sessions · 8 points

Session 1Managing Fit-Out and Furniture Procurement

  • Coordinate fit-out contractor milestones against the fixed move date, with float clearly identified.
  • Sequence furniture procurement and delivery to arrive after fit-out completion, not before.
  • Track long-lead items, such as bespoke joinery or specialist furniture, from order to delivery.
  • Resolve fit-out defects and snagging before furniture delivery to avoid double-handling.

Session 2Managing the Outgoing Premises

  • Review the lease for dilapidations and make-good obligations before planning the exit works.
  • Sequence make-good works so they do not overlap with the final weeks of occupied working space.
  • Coordinate with the landlord or incoming tenant on handover condition and timing.
  • Plan disposal, donation or storage of furniture and equipment not moving to the new site.
03

IT, Logistics and Move-Day Planning

2 sessions · 8 points

Session 1IT and Telecom Cutover Planning

  • Plan network, telephony and audiovisual installation and testing ahead of the move date.
  • Sequence data cabling and equipment moves so IT infrastructure is live before staff arrive.
  • Build a rollback plan for critical systems in case new-site connectivity is not ready in time.
  • Test print, badge access and meeting room technology before declaring the new site operational.

Session 2Move-Day Logistics

  • Build a move-day runsheet sequencing teams, labelling, transport and unpacking by zone.
  • Coordinate moving contractors, cabling teams and security access across both sites on move day.
  • Assign move marshals at both sites to resolve on-the-spot issues without escalating every decision.
  • Plan contingency for delayed transport or access issues without cancelling the whole move weekend.
04

Change Communication, Move Execution and Settling-In

2 sessions · 8 points

Session 1Communicating Change to Staff

  • Build a staff communication plan covering commute, desk allocation, parking and moving-day logistics.
  • Address concerns about desk sharing or layout changes before they surface as resistance on move day.
  • Brief managers to answer team-level questions the central communication plan cannot cover.
  • Set expectations for what will and will not be resolved on day one in the new space.

Session 2Settling-In and Close-Out

  • Log and prioritise snagging issues reported in the first weeks of occupation.
  • Track outstanding fit-out or IT defects to closure against the contractor's defects liability period.
  • Return keys, cards and dilapidations documentation to close out the outgoing lease cleanly.
  • Run a post-move review capturing lessons for the next relocation or future space planning.
